Privacy policy

QSYSTEMS LTD ("QSYSTEMS", "we", "our" or "us") operates the website qsystemslimited.com and provides software, business systems and IT services. This policy explains what personal data we collect through this website and in the course of providing our services, how we use it, and the rights you have under the Data Protection and Privacy Act, 2019 of Uganda and other applicable laws.

Our software products, CranePOS and EFRIS Simplified, have their own privacy policies on their websites, which apply when you use those products.

1. Information we collect

Information you give us. When you complete our contact or consultation form, email us, message us on WhatsApp or call us, we collect the details you provide - such as your name, organisation, email address, phone number, the service you are interested in and your message.

Client and project information. When we deliver services, we process the information needed to perform the engagement, such as contact details of your staff and, where you instruct us, data held in the systems we build, host, integrate or support for you.

Technical information. When you visit the website we automatically receive information such as your IP address, browser type, pages visited and referring site. We use Google Analytics to understand how the website is used.

3. Data we process on behalf of clients

When we build, host, integrate or maintain systems for a client, we act on that client's documented instructions as a data processor. The client remains responsible for the lawful collection of that data. We apply appropriate technical and organisational measures to protect it and do not use it for our own purposes.

4. Sharing your information

We do not sell personal data. We share it only with:

• Service providers who help us operate - such as hosting, email and analytics providers - under confidentiality obligations
• Regulators and authorities, such as the Uganda Revenue Authority, where required to deliver a service you requested or by law
• Professional advisers, or a successor in the event of a business reorganisation

5. Security

We use encryption in transit, access controls, backups and monitoring to protect the information we hold. No method of transmission or storage is completely secure, but we work to protect your data and will notify affected people and authorities of a breach where the law requires it.

6. Retention

We keep enquiry information for as long as needed to respond and follow up, and for up to two years afterwards unless you ask us to delete it. Client and contract records are kept for the periods required by tax and company law.

7. Your rights

Subject to the law, you may ask to access, correct or delete your personal data, object to its processing, or withdraw consent to marketing at any time. Contact us using the details below. You may also complain to the Personal Data Protection Office of Uganda.

8. Cookies

The website uses essential cookies for security (for example to protect forms) and to remember your theme preference, and analytics cookies from Google Analytics. You can control cookies through your browser settings.

9. Third-party links

The website links to other sites, including our product websites and social media. We are not responsible for the privacy practices of those sites.

10. Changes to this policy

We may update this policy from time to time. The "last updated" date above shows when it was last changed.
